Aggregated data is considered non-personal data for the purposes of this Privacy Policy.
This Privacy Policy covers how Rentscore, or any Rentscore-affiliated company, handles personal data whether you interact with us on our websites or through the Rentscore app. Rentscore may also link to third parties on our services or make third-party apps available for download. Rentscore’s Privacy Policy does not apply to how third parties define personal data or how they use it — we encourage you to read their privacy policies and know your privacy rights before interacting with them.

Personal data Rentscore collects from you
At Rentscore, we believe that you can have great service and great privacy. This means that we strive to collect only the personal data that we need. The personal data we collect depends on how you (and others) interact with Rentscore. When you create a Rentscore ID, purchase and/or activate a product or device, download the Rentscore app or a software update, connect to our services, contact us (including by social media), participate in an online survey, or otherwise interact with Rentscore, we may collect a variety of information, including:
- Account information. Your Rentscore ID and related account details, including email address, devices registered, account status, and age.
- Device information. Data from which your device could be identified, such as device serial number, or about your device, such as browser type.
- Contact information. Data such as name, email address, physical address, phone number, or other contact information.
- Payment information. Data about your billing address and method of payment, such as bank details, credit, debit, or other payment card information.
- Transaction information. Data about purchases of Rentscore products and services or transactions facilitated by Rentscore, including purchases on Rentscore platforms.
- Fraud prevention information. Data used to help identify and prevent fraud, including a device trust score.
- Usage data. Data about your activity on and use of our offerings, including browsing history, search history, product interaction, crash data, performance and other diagnostic data.

Personal data Rentscore receives from other sources

- Individuals. Rentscore may collect data about you from other individuals — for example, if that individual has invited you to participate in a Rentscore service or shared content with you.

- Rentscore partners. We may validate the information you provide — for example, when creating a Rentscore ID — with a third party for security and fraud-prevention purposes.
For research and development purposes, we may use datasets that could be associated with an identifiable person. When acquiring such datasets, we do so in accordance with applicable law, including the law of the jurisdiction in which the dataset is hosted. When using such datasets, we do not attempt to re-identify individuals who may appear within them.
Rentscore’s use of personal data
Rentscore uses personal data to power our services, to process your transactions, to communicate with you, for security and fraud prevention, and to comply with law. We may also use personal data for other purposes with your consent. Rentscore uses your personal data only when we have a valid legal basis to do so — depending on the circumstance, we may rely on your consent, the fact that processing is necessary to fulfil a contract with you, the protection of your vital interests or those of other persons, compliance with law, or our (or others’) legitimate interests, weighed against your interests, rights, and expectations.
- Power our services. Personal data necessary to power our services, including to personalise or improve our offerings, for internal purposes such as auditing or data analysis, or for troubleshooting.
- Process your transactions. Data such as your name, purchase, and payment information.
- Communicate with you. To respond to communications, reach out about your transactions or account, market our products and services, or request information or feedback. We may send important notices — such as communications about purchases and changes to our terms, conditions, and policies — which you may not opt out of.

Rentscore does not use algorithms or profiling to make any decision that would significantly affect you without the opportunity for human review. We retain personal data only for so long as necessary to fulfil the purposes for which it was collected, or as required by law — when assessing retention periods, we work to retain personal data for the shortest possible period permissible under law.
Retention of Rent Score and Tenancy Performance Data
To maintain the integrity of our verification network, we process and retain historical tenancy data and rent scoring records under the lawful basis of Legitimate Interests (Article 6(1)(f) of the UK GDPR). Our platform, alongside landlords, letting agents, and property managers, has a compelling and necessary interest in maintaining accurate historical records. This data is vital to assess rental risk, verify tenant identities, and prevent sector-wide housing fraud. Because this information serves a critical role in financial transparency and risk management, requests for erasure regarding valid historical Rent reports and scores will be refused.
We operate a strict, dual-phase data retention schedule in line with UK statutory guidelines: Years 1 to 6 (Live Decisions) — Identifiable tenancy data and Rentscores are held for 6 years from the date your tenancy ends. Years 7 to 11 (Statistical Research) — Personal identifying data is permanently stripped and anonymised at the 6-year mark; raw unlinked data held 5 more years for statistical purposes only and can never impact future applications.
Rentscore’s sharing of personal data
Rentscore may share personal data with service providers who act on our behalf, our partners, or others at your direction. Rentscore does not share personal data with third parties for their own marketing purposes.
- Service providers. Third parties who perform certain tasks on our behalf, such as processing or storing data in connection with your use of our services. They are obligated to handle personal data consistent with this Privacy Policy and our instructions, cannot use it for their own purposes, and must delete or return it once they have fulfilled our request.
- Partners. Rentscore may partner with third parties to provide services or other offerings, and requires its partners to protect your personal data.

Where your complaint indicates an improvement could be made in our handling of privacy issues, we will take steps to make such an update at the next reasonable opportunity.
